KIWI locks are designed by default not to record any personal data during use—neither locally on the device, nor on the user's phone, nor in the KIWI Cloud. All openings are completely anonymous.
However, the administrator of a KIWI locking system, such as your property manager, has the option to activate a digital access history for specific doors. Should one of your openings be recorded in the history, you will see a corresponding notice on the door card in the KIWI App's door list before opening.
What You Need to Know:
- Data Collection: The access history is configured and viewed in the KIWI Portal (by the property manager/owner). If activated, openings made with the KIWI App as well as with the KIWI Transponder are recorded and stored securely on KIWI servers in Germany. The following data is collected for every successful opening:
- Timestamp of the opening
- Person who opened the door (First Name, Last Name, and Customer Number/Email Address)
- Opening method (App or Transponder)
- "Tracked" Display in the App: Recording in the history is completely transparent, meaning you will see in the KIWI App whether it has been activated for each door (the "Tracked" status field on the door). The data is intended only for Portal Users (property managers) for security purposes. KIWI employees do not view the access history, and the data is not shared with third parties.
- Duration of Data Storage: Entries in the access history are automatically deleted no later than 90 days after recording.
- Consent Required: According to the General Data Protection Regulation (GDPR), your system administrator (property manager/owner) is obliged to obtain your consent to create an access history for the doors you frequently use. If you have not consented to your openings being recorded in the history, but see an active recording status displayed in the KIWI App, please contact your system administrator or landlord/property owner.
